Work From Home Policy (v2.0)

Work From Home Policy & Responsibility Framework

Profezzo Business Services Pvt. Ltd. — For Developers, Analysts & Project-Based Team Members. All roles under this policy are fixed-term or project engagements. Policy Version 2.0

Signed master copy: File Manager → Home → HR Policies → Profezzo_WFH_Policy_v2.docx

Preamble

This policy sets clear rules about how our work-from-home team works: what you are expected to deliver, what you are responsible for, what Profezzo is responsible for, and what happens when things go wrong. It is written in plain words, not legal jargon. And it works both ways: you make promises to Profezzo, and Profezzo makes promises to you.

1. Who does this policy apply to, and how are you engaged?

1.1 This policy applies to all full-time developers, all full-time analysts, and all project-based team members.

1.2 Every work-from-home role is a fixed-term engagement, not permanent employment.

  • Full-time roles run on a fixed-term contract (usually 6 or 12 months, stated in your offer letter).
  • Project-based roles run for the life of the project or the period in your agreement.
  • When your term or project ends, the engagement ends by itself. That is a normal ending, not a punishment. You receive all your dues and a letter recording your work with us.
  • Renewal is a fresh decision each time, based on your performance score (Section 6) and business need. No number of renewals converts your role into permanent employment.

1.3 The policy applies from the date you sign it until your last day.

1.4 Profezzo can update this policy with 30 days' notice and a fresh signature. No change can take away rights the law gives you.

2. What Profezzo promises you

  • Clear work: every task assigned in writing, with a clear definition of "done" and a deadline.
  • Honest, timely feedback: a monthly 30-minute review. You should never be surprised by a warning.
  • Pay on time.
  • Respect for your personal time: no replies expected after 7:00 PM, on Sundays, or on leave — unless a genuine emergency, said explicitly by your lead.
  • Privacy: we measure your results, not your keystrokes. No software watches your screen in the background.
  • A fair hearing: before any warning or serious action, we listen to your side.

3. Work arrangements

Three options: Fully Remote (Mon–Sat from home), Hybrid (1–2 days/week in the Raipur office), Flexible (custom, agreed with your lead). You request; your lead decides against project needs; the decision is written in your file. Reviewed every 3 months with 2 weeks' notice of changes.

4. Work timings and daily hours

  • Monday to Saturday; Sunday off; public holidays per company calendar.
  • 10:00 AM – 7:00 PM IST, lunch 1:00–2:00 PM (8 working hours).
  • Core online hours: 10–1 and 2–7 — be reachable. Short breaks are normal; message the team for anything longer.
  • Mark attendance daily in the HR system. Can't work? Tell your lead early. Going silent for 3 days without any word is a serious issue (Section 12).
  • Project-based members: your agreement may set deliverable-based schedules instead.

5. Your responsibilities

Developers: working, tested, documented code; review others' code; deliver what you promised when you promised; raise problems immediately.

Analysts: write requirements clearly; test what developers build; report bugs with what you did / what happened / what should have happened; flag blockers immediately.

Everyone: reply to urgent/blocked messages within 2 hours during work time; attend meetings on time; tell your lead when stuck; keep secrets (Section 10); treat everyone with respect.

6. How is your work measured?

Results, not sitting hours. We do NOT track typing or clicking. We do NOT run monitoring or screenshot software in the background — ever.

Score = Delivery 50% (≥95% of committed work; most tasks within 5 business days) + Quality 30% (tested, documented, ≤2 missed problems per release) + Communication 20% (fast replies, reviews, showing up, raising blockers).

Reviewed monthly (30 min) + quarterly. Scores are written, shared with you, and drive your renewal decision (1.2).

7. Proof of work (screen recordings)

For some tasks (UAT, client-site configuration, data migration, disputed work) your lead may ask you to submit a short screen recording as proof:

  • You record it yourself and submit it. Nothing runs silently. Profezzo never records your screen in the background.
  • Record only the work window. Close personal apps and other clients' work first. Never let passwords appear on screen.
  • Keep it short — a 2–5 minute walkthrough.
  • Attach it to the task record so the reviewer sees it next to the work.
  • We delete it after review — at most 90 days. Seen only by your lead and reviewers, never shared outside Profezzo.

8. Your privacy and your data

We collect only work data: attendance, timesheets, task records, recordings you submit, messages in company systems, engagement documents. Used only to assign/review work, pay you, and meet legal duties. Never your personal files or browsing. Kept only as long as needed or legally required. You can ask what we hold and request corrections. Handled per the Digital Personal Data Protection Act, 2023.

9. You bring your own device (BYOD)

  • Your device, your cost, your maintenance. Profezzo does not pay for devices, internet, furniture, or personal software.
  • Minimum: 8 GB RAM, 256 GB storage, updated OS, antivirus on, firewall on, disk encryption on.
  • Because the device is yours, Profezzo installs no monitoring software on it. Keep all work in company systems.
  • Device broke? Tell your lead the same day and agree a plan (leave / adjusted deadlines / alternate tasks). Fixing it stays your responsibility.
  • Internet down? Switch to a mobile hotspot. Never public WiFi — no cafes, airports, libraries — even with VPN.
  • Always on company VPN; never share passwords; never personal email or personal cloud drives for work.

10. Keep company and client secrets

Everything at Profezzo is confidential: code, projects, client names, prices, plans, salaries, internal discussions. Don't share with anyone outside Profezzo — family, friends, social media, other companies. No photos/screenshots of work.

Clients are off-limits: never contact a Profezzo client for your own work or business — during your engagement and for 2 years after you leave. Confidential information stays confidential during your engagement and for 1 year after you leave.

Breaking this rule goes straight to the misconduct fast track (12.6): suspension, a quick hearing, and if confirmed — immediate exit plus legal action.

11. One engagement at a time

Full-time (fixed-term): Profezzo only. No freelancing, no side jobs. Want to work elsewhere? Resign formally, receive your dues, then you're free.

Project-based: not exclusive, but (a) never work for a Profezzo client or direct competitor while engaged; (b) other work must never eat your committed hours or deadlines; (c) disclose your other engagements to your lead in writing.

Hidden conflicting work — discovered, not disclosed — is serious misconduct (12.6).

12. What happens if your work is not good enough?

We believe in chances. Every stage is written down; at every stage we listen to your side first.

  1. Stage 1 — First conversation (wk 1–2): private talk, email summary, 1 week to fix.
  2. Stage 2 — Formal warning (wk 3–4): written letter (problem, fix, deadline), signed; 2 weeks to meet targets.
  3. Stage 3 — Final chance (wk 5–6): CEO + lead; 100% of targets for 2 weeks, daily check-ins.
  4. Stage 4 — Exit: engagement ends; you are paid everything the law and your contract require (work done + notice pay where applicable); professional parting.

12.6 Serious misconduct fast track (secrets, client contact, hidden conflicting work, theft, fraud, harassment): immediate suspension → hearing within 5 business days where you explain your side → if confirmed, immediate exit + possible legal action.

12.7 End of term is not a punishment — if your term or project simply ends, none of this applies; you leave in good standing.

13. If you disagree with a warning

Appeal in writing to the CEO within 3 business days. Meeting within 5 business days with you and your lead. The CEO's decision is final.

14. We follow the law

Indian labour law wins over this policy wherever they differ. You can complain to HR and always keep your right to labour authorities and courts. Disputes: Chhattisgarh law, Chhattisgarh courts.
